  • Directly supports a senior manager and generally supports an entire department
  • Manages day to day calendar(s) of senior management
  • Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls
  • Assist with creation/modification of presentations, spreadsheets, and other various documents
  • Coordinates travel arrangements; prepare and distribute schedules/agendas for travel
  • Prepares, reconciles, and tracks expense reports through Travel and Entertainment Expense system
  • Process and follow-up on Virtual Requests, assists in ad-hoc reports / special projects as needed
  • Trains, coaches or guides other administrative staff when required
  • Screen calls/incoming mail - be an effective gatekeeper; take messages efficiently and accurately; receive visitors
  • Compose and prepare internal/external correspondence in addition to maintaining, answering and routing correspondence not requiring manager's attention
  • Proactive maintenance of calendars and meetings, arranging room and VC and catering facilities as required
  • Coordinate travel arrangements, understanding executive's travel preferences and needs, and using initiative in managing itinerary times and costings. Prepare and process associated travel expenses, and resolve queries, in a timely manner
  • Create and maintain correspondence and record files  Act as Records Management Officer for the department, coordinating and ensuring compliance for the Annual Attestation process
  • Assist and fill in for other support staff
  • Input and maintain internal databases
  • Coordinate and take minutes for multiple Committees, both during the day and often in the evening
  • Raise purchase orders and code invoices for payment
  • Perform Office Manager duties such as maintaining stationery supplies, dealing with facilities issues, ordering IT equipment and disseminating communications. Assist in organising group morale events, regular staff meetings and franchise parties
  • Act as point of contact for staff visiting from other locations and consultants engaged on projects
  • Assist with any other ad hoc reports and special projects as required , assist with Client events where required
  • Monitor and ensure implementation of company policy
  • Previous office administration experience preferably within a large and complex financial services or similar organization
  • Highly proficient in Microsoft Office (strong presentation skills)
  • Highly proficient in JIRA and other task management tool-sets
  • Experience with Workday, HR systems, Renault, etc.
  • Consistently demonstrates clear and concise written and verbal communication skills
  • Demonstrated ability to quickly gain command of new systems
  • Self-motivated and detail oriented
