Responsibilities :

Workplace Transformation
  • Contribute to and support the development and implementation of our workplace transformation plan
  • Support our office space planning and provide timely updates on floor plans and occupancy information
  • Recommend improvements in workplace processes, procedures, and services.
  • Be a sub team lead to run initiatives on office sustainability and see through the projects' completion.
Workplace operations and services
  • Manage and provide workplace facilities and services
  • Manage the office security system and access control
  • Source and recommend most suitable vendors for office & pantry supplies and services
  • Engage and build positive vendors' relationships to ensure full understanding and compliance to workplace green and safety policy
  • Support all staff onboarding and offboarding processes from administration standpoint
  • Maintain the office equipment
  • Manage the office key issuance and control
  • Support staff engagement activities.
Workplace finance and procurement
  • Assist in annual opex and capex budgeting
  • Track & maintain appropriate office supplies stock level and make recommendations for additions, deletions and replacement based on buying patterns of the company
  • Process and follow up on purchase orders and ensure goods and service are delivered within timeline and right specifications
  • Ensure timely process of invoices.
Corporate real estate, administration, and others
  • Workplace contract and lease documents' management
  • Manage the inventory and Admin assets verification, appreciation and write off
  • Update and manage the workplace records in a timely manner
  • Maintain proper e-filing and hard copies (if required), including data management and file sharing
  • Any other ad-hoc administration and workplace support and involve in projects assigned.
Requirements :
  • Minimum Degree/Diploma with a few years of relevant experience in workplace transformation and office administration
  • Experience working for large corporates/progressive organisations preferred
  • Ability to multi-task and perform effectively in a fast-paced environment
  • Good team player, proactive and solution oriented.
