We are looking for an Operations Assistant to join our Singapore team at Eames Consulting.

Key Areas of Responsibility

  • Database cleanse
  • Assisting with client packs and company presentations
  • Updating & Running reports 
  • General placement administration including compliance checks, system updates, reporting and providing invoicing support
  • Contractor pre-employment screening and answering contractor queries
  • Issuing contractor contracts and termination letters
  • Generating Eames standard terms of business and amendment requests
  • Uploading terms of business to the database and distributing where appropriate
  • Assisting and supporting with company events
  • Carrying out general admin requests where required
  • Ensure compliance with MOM requirements relating to quarterly CV submissions
  • Manage all incoming switchboard calls
  • Responsible for booking and managing meeting rooms
  • First point of contact for visitors to the office
  • Maintain reception and meeting rooms to a presentable and professional standard 
  • Sending and sorting company post and arranging courier requests
  • Binding and filing of documents
  • Order company gifts, office stationery and general office supplies
  • Desk set ups for new starters
  • Liaise with suppliers and building management
  • Assist with ad hoc projects are directed by the Regional Operations Manager and/or the Head of Operations

Experience/Interpersonal Skills Required

  • Experience with Microsoft Office including Outlook, Excel, Word and PowerPoint. Onedrive, Sharepoint and Salesforce would be advantageous but not required
  • Excellent time management and planning skills, with a good attention to detail and the ability to remain calm under pressure
  • Able to communicate effectively both internally and externally in both written and verbal forms, with strong relationship management skills
  • The ability to work proactively, driving for results and constantly striving to perform the highest levels of service to the business
  • Team player with enthusiasm and dedication to the company
