HR TEAM ASSISTANT (Fixed Term Contract)
HR Team Assistant

The key responsibilities of the role include:

• PA to the Chief Human Resources Officer- EMEA • Diary management
• Travel booking (and occasionally for members of the HR team)
• Assisting with the preparation of internal HR Meetings including booking rooms, preparing agendas and distributing resources for meeting attendees
• Assisting with the production of presentations
• Processing ad hoc expense claims

Team Administrative Support
• Responsible for new joiners induction training; collection & processing of original documentation
• Collect & process right to work documentation from international transfers and STA's
• Updating new joiner packs
• Rescreening - processing of original documentation
• Co-ordination of new HR joiner introduction schedules
• Assisting with documentation and contracts for the Individual Accountability Regime
• Meet and greet external trainers and provide any needed 'on the ground' support, collecting registration and feedback forms
Managing redundancy administration including booking meeting rooms, tracking meeting dates, liaising with external providers, submitting term forms and completing all the required paperwork including settlement agreements.

General Administration
• Invoicing Processing
• Co-ordination of arrangements for HR visitors as necessary
• Ordering and storing stationery
• Ad hoc administrative tasks requested by functional HR heads
• Updating and maintain of organisation chart & distribution lists
• Coordinate office/BAU moves
• Other administrative tasks as they arise such as assistance with the collation of documentation for internal audit tests
The successful candidate will benefit from having:
• Proven experience as a Personal Assistant for senior management
• Ability to deliver brief presentations and deal with HR Q&A
• Team administrative duties; ability to multitask with excellent attention to detail
• Experienced in right to work documentation
• Produce powerpoint presentations for senior management
• Excellent written and communication skills
