About the role:
As a trusted subject matter expert, you will take ownership of lease administration activities across a large, multi-country real estate portfolio. You will ensure lease data integrity, support key financial processes, and provide valuable insights that help our client optimize their real estate strategy.
Working closely with Real Estate, Legal, Finance, Asset Management, and Operations teams, you will play a key role in ensuring lease obligations are managed while identifying opportunities to improve efficiency, reduce risk, and deliver portfolio value.
How You'll Make an Impact
Lease Administration & Data Management:
Manage the end-to-end lease documentation process, including new leases, renewals, amendments, terminations, and closures. Oversee lease abstraction and conduct quality assurance reviews to ensure data accuracy. Maintain lease records within TRIRIGA and other document management platforms. Ensure critical lease dates and obligations are tracked and managed. Partner with Legal, Real Estate, and Asset Management teams to maintain compliance with lease requirements. Coordinate document intake, validation, translation requirements, and legal workflow processes. Manage month-to-month and holdover lease records.
Financial Administration & Audit Support:
Review and validate monthly rent files and lease-related financial obligations. Coordinate security deposits, bank guarantees, tenant improvement allowances, and capital contribution payments. Track lease-related payments and communicate status updates to stakeholders. Perform operating expense reviews, CAM reconciliations, and lease audits to identify discrepancies and cost-saving opportunities. Analyze lease clauses and financial obligations to ensure landlord charges align with contractual agreements. Prepare audit findings and support recovery initiatives. Review high-value contracts and financial agreements to ensure accurate accounting and cost allocation.
Portfolio Reporting & Analysis:
Deliver accurate and timely portfolio reporting for internal and client stakeholders. Produce critical date reporting and lease cost analyses that support strategic decision-making and lease negotiations. Analyze portfolio performance and identify trends, risks, and opportunities. Prepare and distribute portfolio reports and dashboards. Support dispute resolution efforts relating to landlord obligations, lease interpretation, and compliance. Provide lease cost insights to support strategic portfolio decisions. Support repairs and maintenance abstraction activities across the portfolio.
Stakeholder Management & Collaboration:
Act as a key point of contact for cross-functional partners across Real Estate, Legal, Finance, Risk Management, Operations, and Asset Management. Participate in recurring client and business review meetings, providing insights, updates, and reporting support. Build working relationships with stakeholders across multiple regions and time zones. Coordinate lease closures and transitions across multiple business functions. Prepare meeting summaries, action trackers, and portfolio updates for internal and external stakeholders. Clearly communicate complex lease and financial information to a range of audiences.
Continuous Improvement & Portfolio Optimization:
Support lease savings initiatives and portfolio optimization projects. Contribute to process improvements that enhance operational efficiency and data quality. Support portfolio protection initiatives, service charge audits, and lease compliance programs. Apply best practice lease administration principles to improve service delivery. Champion collaboration, accountability, and continuous improvement. Lead by example and embody CBRE's RISE values in everything you do.

What You'll Need:

- Bachelor's degree preferred.
- 2-5 years of experience in Lease Administration, Corporate Real Estate, Portfolio Management, or a related field.
- Experience working with TRIRIGA, IWMS platforms, or lease administration systems.
- Knowledge of lease abstraction, lease compliance, and document management processes.
- Experience with CAM reconciliations, operating expense reviews, lease audits, and rent administration.
- Understanding of tenant improvement funding, security deposits, and lease-related financial workflows.
- Analytical and problem-solving capabilities.
- Advanced proficiency in Microsoft Excel and other Microsoft Office applications.
- Organizational, communication, and stakeholder management skills.
- Ability to manage multiple priorities while maintaining accuracy and quality.
- Confidence working with stakeholders across different functions, cultures, and geographies.
- A proactive mindset with a focus on service excellence and continuous improvement.
