Position Summary

The Client Services & Operations Manager is a strategic and hands-on role responsible for supporting business growth while ensuring the smooth, efficient, and compliant operation of the organization. The role serves as a critical bridge between clients, distribution partners, internal stakeholders, and outsourced service providers, overseeing client servicing, business development support, fund operations, office administration, vendor management, and corporate operational functions.

This position requires a highly organized and adaptable professional who can manage multiple priorities in a dynamic environment. The successful candidate will play a key role in strengthening client relationships, supporting fundraising and distribution initiatives, coordinating fund operational activities, and ensuring effective execution of internal business operations.

Key Responsibilities Client Services & Relationship Management

Act as a primary point of contact for clients, distribution partners, and key external stakeholders, ensuring a high standard of service and responsiveness.
Support relationship management activities throughout the client lifecycle, including onboarding, subscription processes, ongoing communications, and post-investment reporting.
Coordinate client requests, documentation, reporting requirements, and follow-up actions with internal and external stakeholders.
Maintain strong working relationships with private banks, family offices, wealth managers, financial institutions, and other distribution partners.
Assist in gathering client requirements and supporting the delivery of tailored investment and business solutions.

Business Development & Marketing Support

Support the identification, development, and management of prospective business opportunities and strategic partnerships.
Assist in maintaining a pipeline of potential clients and distribution channels across relevant markets.
Coordinate client meetings, presentations, roadshows, conferences, webinars, and marketing events.
Collaborate with internal teams and external partners to develop, update, and distribute marketing materials, presentations, and client communications.
Track business development activities and support revenue-generating initiatives through effective coordination and administration.

Fund Operations & Investment Support

Coordinate with external service providers, including fund administrators, legal counsel, auditors, custodians, and other operational partners.
Support fund-related activities such as fund launches, investor onboarding, capital calls, distributions, investor reporting, and annual audit processes.
Review operational deliverables and financial reports prepared by service providers and ensure timely distribution to relevant stakeholders.
Assist in maintaining operational workflows and documentation to support efficient fund management activities.
Identify opportunities for process enhancements and operational efficiency improvements.

Office Operations & Corporate Administration

Oversee day-to-day office operations to ensure an efficient and well-organized work environment.
Manage relationships with outsourced service providers, including accounting firms, payroll providers, insurers, corporate secretaries, technology vendors, and facilities providers.
Coordinate employee onboarding, payroll administration, and general human resource support activities.
Maintain administrative records, contracts, corporate documentation, and internal operational procedures.
Support management in special projects and cross-functional initiatives as required.

Finance & Vendor Management

Liaise with external accounting providers to support bookkeeping, financial reporting, budgeting, and expense management activities.
Monitor operational expenses and assist management with cost control and budget planning.
Manage vendor relationships and oversee procurement processes, including vendor selection, contract administration, and service-level agreements.
Ensure timely resolution of operational issues and maintain effective communication between vendors and internal stakeholders.

Compliance & Risk Management

Support adherence to applicable regulatory requirements, internal policies, and governance standards.
Maintain operational policies, procedures, and documentation to ensure consistency and regulatory compliance.
Work collaboratively with compliance advisors, legal counsel, and external consultants on operational and regulatory matters.
Identify operational risks and contribute to the implementation of effective controls and best practices.
Maintain strict confidentiality and uphold the highest standards of professionalism, ethics, and integrity.

Qualifications Education & Experience

Bachelor's degree or diploma in Finance, Business Administration, Accounting, Economics, or a related discipline.
Minimum 3 years of relevant experience in client services, operations, fund administration, wealth management, asset management, private banking, financial services, or a related industry.
Experience supporting investment products, fund structures, or wealth management solutions is highly desirable.
Exposure to both client-facing and operational responsibilities would be a strong advantage.

Technical Knowledge

Strong understanding of financial markets, investment products, fund operations, and industry best practices.
Familiarity with investor onboarding processes, client servicing, and fund administration activities.
Understanding of regulatory and compliance requirements applicable to financial services organizations is advantageous.
Proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, and Word.
