We are seeking a professional and proactive Receptionist & Administrative Assistant to support the daily operations of the office. This position is primarily focused on administration (approximately 80%), while also serving as the first point of contact for visitors and incoming enquiries (approximately 20%). The successful candidate will be highly organised, detail-oriented, and able to manage multiple tasks in a fast-paced environment.

- Provide comprehensive administrative support to the team and management
- Coordinate domestic and international travel arrangements, including flights, accommodation, transportation, and itineraries
- Organise meetings, appointments, and conference room bookings
- Assist with company events, staff activities, client functions, and external events
- Manage office supplies, vendor coordination, and general office administration
- Prepare reports, presentations, correspondence, and other documentation
- Maintain filing systems, records, and databases with accuracy
- Support invoice processing, expense claims, and related administrative tasks
- Handle ad hoc projects and administrative duties as assigned
- Greet and welcome visitors, clients, and guests in a professional manner
- Manage incoming calls, emails, and general enquiries
- Coordinate visitor registrations, meeting room arrangements, and refreshments
- Ensure reception and common areas are well-maintained and presentable at all times
- Handle incoming and outgoing mail, courier services, and deliveries
- Diploma or above in Business Administration or a related discipline
- 2+ years of experience in administration, reception, office management, or a similar support function
- Strong organisational and multitasking abilities
- Excellent communication and interpersonal skills - Fluent in English, Cantonese and Mandarin, with strong written and verbal communication skills
- Proficient in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Positive, service-oriented, and proactive attitude
- Ability to work independently and adapt to changing priorities
